Client onboarding

Let's get you set up

A few details and accesses so we can start work on your campaigns. ~10 minutes. If you don't have something (a Google Ads account, an analytics setup) just tick "please create for me" — we'll handle it.

Invite only

This portal is opened with a personal link your Integral Media contact emails to you. The link carries a unique token that loads your pre-filled onboarding form.

If you're an IM client and can't find your link, reach out to your Integral Media contact and they'll send a new one.

About you

We already have some details from your sales call. A few gaps we need from you directly.

Edit the field if anything's not right — including the spelling.

This is who we'll send updates and questions to. A direct mobile is helpful for time-sensitive stuff (creative sign-offs, urgent campaign changes).

Add anyone who should receive reports, sign off on creative, handle billing, or grant access. For example: an accounts person, a marketing lead, a web developer, a business partner. Leave blank if it's just you.

We'll set up analytics, ads, and SEO against these exact URLs. If the one we have is wrong, please correct it — and add any others we should know about (separate brand sites, landing pages, online store, microsites, etc.).

11 digits. Look on any invoice you've issued.

Tell us in your own words. A specific number (e.g. "5 quote requests a week" or "$3M in builder orders") is more useful than "more leads".

Tick what counts — we'll set the tracking up around these.

States, metro areas, distance from your factory — whatever's natural to you.

Names + websites, one per line. Anyone you lose work to, or anyone whose marketing you've noticed. Don't worry about being polite — this is just between us.

Search terms you don't want to appear for, or audiences to exclude. Optional.

Brand assets

We need a few brand files so our work is visually consistent with everything else you do. Drop in a link to a Drive/Dropbox folder if it's easier than uploading each item.

Logo files

SVG, EPS, or high-res PNG. Ideally both colour and reversed (light/dark backgrounds).

Drop logo files here or browse
SVG · EPS · AI · PNG · PDF — multiple files OK
or paste a link

Brand colours

Hex codes if you have them (e.g. #2A4D3E). If not, just describe — "dark green like our logo" works.

Brand guidelines / style guide

If you have one — usually a PDF. If not, leave blank, no problem.

Drop your brand guidelines here or browse
PDF · DOCX · INDD · ZIP
or paste a link

Photography & product images

Installations, product shots, factory photos. The more the better — we'll use these in ads and content. Big libraries are easier as a link.

Drop photos here or browse
JPG · PNG · HEIC · ZIP — multiple OK
or paste a link

Tone of voice / writing examples

A doc that says how you sound, OR a few examples of writing you like (your own newsletters, web pages, brochures — or anyone else's). Optional.

Drop tone-of-voice docs or examples here, or browse
PDF · DOC · DOCX · TXT · MD
or paste a link

Things to avoid, words you don't use, recent campaigns you liked or hated.

Platform accesses

For each platform: paste the account ID/URL if you have it, OR tick "I don't have this, please create it for me" and we'll set it up. You don't need to grant access right now — once you submit, we'll email you specific click-by-click instructions for each one.

Google Ads

If you've run Google Ads before, paste your 10-digit Customer ID (top-right of ads.google.com — format: 123-456-7890). Once we have it, we'll send you a link request to accept.

Google Analytics 4

If you have GA4 set up: paste your Property ID (find it in analytics.google.com → Admin → Property Settings).

Google Search Console

If you have it, just confirm the domain (we'll find the property). If you don't, no problem.

Google Tag Manager

Paste your Container ID (format: GTM-XXXXXXX). This is what loads tracking on your site.

Google Business Profile One row per location

Search your business name + suburb on Google (e.g. "your business + your city"). If a listing shows up with photos and reviews on the right side, paste that URL. Add a row for each physical location — showrooms, branches, warehouses. If a location isn't on Google yet, tick "please create" for that row.

Website access

Pick your platform — we'll show you exactly what to do. Don't grant anything right now if you'd rather wait; we just need to know what we're working with.

How to give us WordPress access

  1. Log in to your WordPress admin (usually yourdomain.com.au/wp-admin).
  2. Go to Users → Add New User.
  3. Username: integralmedia · Email: admin@integralmedia.com.au · Role: Administrator.
  4. Tick Send the new user an email about their account, then click Add New User.

How to give us Shopify access

Shopify treats agencies differently to staff — we use Collaborator access, which doesn't count against your staff cap and doesn't need a plan upgrade. You give us a one-time 4-digit code; we request access from our Partner Dashboard.

  1. In your Shopify admin, go to Settings → Users.
  2. Click Security.
  3. Find the Collaborator request code — a 4-digit number. Click it to copy.
  4. Paste the code and your store URL in the fields below — that's all we need. We'll send the request from our end.
  5. You'll receive an email + admin notification when our request arrives. Open it from Settings → Users → Collaborators, review the permissions, and click Accept request.
Heads up — codes are single-purpose. If you regenerate the code later, our old request becomes invalid. Send us the current code and we'll request access within 24 hours.

How to give us Squarespace access

  1. Log in to your Squarespace site (or add /config to your site URL to jump straight to the admin).
  2. In the sidebar: Settings → Permissions and Ownership.
  3. Click Invite Contributor.
  4. Name: Integral Media · Email: admin@integralmedia.com.au.
  5. Toggle Administrator on — this gives us all the permissions we need in one click.
  6. Click Invite. We'll get an email to accept.
Note — only the site Owner or an existing Administrator can invite contributors. If you're not seeing the Invite button, ask whoever set the site up.

How to give us Wix access

  1. Open your site's Dashboard (not the Editor).
  2. In the left sidebar: Settings → Roles & Permissions.
  3. Click Invite Collaborators.
  4. Email: admin@integralmedia.com.au.
  5. Role: Admin (Co-Owner) — this gives us full access to edit the site, manage apps, and view analytics.
  6. Click Send Invite.
Heads up — standard Wix sites include 1 free collaborator seat. If you've already got an external collaborator (e.g. your web designer), you may hit the limit. Wix Studio sites include 5 free seats. Let us know if you run into a paywall.

How to give us Webflow access

Webflow has two access models. Client seats are free on all Workspace plans and let us collaborate on a specific site. We'll use that path by default.

  1. Open your Workspace (top-left dropdown in Webflow shows which workspace your site is in).
  2. Go to Workspace settings → Members.
  3. Click Invite members.
  4. Email: admin@integralmedia.com.au.
  5. Seat type: choose Client seat (free) and pick our site. If Client seat isn't available on your plan, choose a paid seat — we'll discuss before you accept any charge.
  6. Send the invitation.
Free option — if your plan supports client seats (Starter / Freelancer / Agency from Webflow's 2024+ pricing), the Client seat option costs nothing. If you're on a legacy Core/Growth plan, let us know and we'll check the seat economics together before anyone pays for anything.

Custom-built site

  1. Tell us what you're built on (PHP custom, headless React, Drupal, Joomla, etc.) and we'll send instructions tailored to it.
  2. If there's an admin panel, paste the URL below. If it's static / no admin, just let us know.
  3. If you have a web developer or agency we should liaise with, share their contact below.

Let us figure it out together

No problem — most clients don't know off the top of their head. Just give us your website URL below and we'll work out the platform from a quick look at the site. We'll come back with specific instructions after that.

Domain & hosting

Who registered the domain (GoDaddy, VentraIP, Crazy Domains, etc.)? And where's the site hosted? You don't need to give us logins yet — just the provider names.

Meta (Facebook + Instagram) Optional

Only if you'd like us to manage your social ads as well. Not in scope for the initial engagement, but useful to know if it's something you want later.

Google Merchant Center If you sell products

For Shopping ads. If you have a Merchant Center account, paste your Merchant ID (top-right of merchants.google.com).

LinkedIn Ads If applicable

If you run LinkedIn ads, paste your Ad Account ID (Campaign Manager → Account Assets).

TikTok Ads If applicable

If you run TikTok ads, paste your Advertiser ID (TikTok Ads Manager → top-right).

Microsoft Ads If applicable

Bing search ads. If you have a Microsoft Advertising account, paste your Customer ID.

Call tracking If applicable

If you already track phone calls (CallTrackingMetrics, CallRail, etc.), tell us the account name. Otherwise we'll set this up for you.

CRM If applicable

If you'd like leads to flow into your CRM, tell us which one you use (HubSpot, Salesforce, Zoho, etc.) and the login URL.

Email marketing If applicable

If you send marketing emails (Mailchimp, Brevo, Klaviyo, etc.), tell us which platform so we can connect it.
